Privacy statement

In this privacy statement, you can find information on how Insiders Online BV and Plaece both belonging to Insiders Holding (hereinafter 'Insiders') handles the (personal) data you provide to Insiders. Insiders is an internet agency specialising in destination marketing. Below you will find which party is the responsible party within the meaning of the General Data Protection Regulation (AVG). This statement states what personal data is collected from you as an organisation and from the end users of the services Insiders provides on your behalf, arising from the assignments and agreements you enter into with Insiders as an online service provider for your organisation. It also states the purposes for which this personal data is collected.

In addition, you will read how long your (personal) data will be kept, what rights you have in this respect and how you can exercise them. In addition, you will read how we handle personal data that do not relate directly to your own organisation, but to the end users of your website and web applications. You yourself are the processor of this latter category of personal data. You can use this information in your own communication regarding the AVG, to inform your contacts.

Who is responsible?

The controller within the meaning of the AVG is the party that determines the purposes of processing your personal data. In this case, that is Insiders for the data we capture from your organisation and contacts as a company. In the case of the end-users of the websites and web applications that contain personal data on behalf of your organisation, you yourself are the processor responsible. Insiders is the processor in the latter case. When processing personal data of your end users, Insiders uses third parties that process your data for the purpose of providing services to you. Insiders has entered into a processor agreement with these third parties which ensures that the obligations within the meaning of the AVG are met.

Which personal data are processed?

For the purpose of carrying out the assignment you have provided, you will provide several personal data to Insiders. Depending on the services you wish to use, the following (personal) data may be processed by Insiders:

  • name, address and city data;
  • title;
  • sex;
  • PO Box and/or other branch details;
  • (Mobile) phone number(s);
  • fax number(s);
  • date of birth;
  • e-mail address(es);
  • chamber of commerce number(s);
  • username and password for Insiders;
  • IP address of the device you use to log into or use Insiders;
  • billing data;
  • content such as photos, videos and texts that entrepreneurs, organisations and consumers place themselves in your database or the Open Data Platform or website (user-generated content);
  • Personal profile information regarding interests in topics related to tourist destinations and/or leisure activities or personal profile information legitimately obtained or provided by members of your organisation from a CRM or similar system.
  • statistical information about online behaviour on websites and web applications, such as the number of pages viewed, the customer journey (click paths), reviews given, likes, favourites, keywords entered in the search functions of the website or application.
  • data of interests and membership of social communities on social media platforms by means of following, unfollowing and sending invitations appropriate to the character of the (social) media platform such as LinkedIn, Instagram, Facebook, Twitter, Whatsapp and similar (social) media platforms, in accordance with the usage guidelines of the platforms in question.
  • Booking data and history in the case of online bookings via Insiders services.

For what purposes are personal data processed (from you)?

Insiders processes personal data from you and your organisation for the following purposes:

  • for providing services you have commissioned Insiders to end users of the services, such as consumers who subscribe to a newsletter or leave personal data to receive information via your website;
  • For displaying location, organisation, profile and contact data on public and closed parts of the website in accordance with the agreed set-up of your online platform provided by Insiders. For example, restaurant data and contact details for display on a tourism website. It is also possible that it has been agreed with you that profile or personal data will be displayed on member overviews and/or pages of persons online, whether or not accessible via a password, in order to enable users of your website to get in touch with each other or to view and/or post information online themselves;
  • for sending digital newsletters to you and to colleagues in your organisation, e.g. the Plaece Updates or invitations to meetings for sending personalised messages that match your situation, interests and/or the situation of your company;
  • for sending information about new products or services from Insiders;
  • to track how and to what extent you use Insiders' services and to maintain and improve Insiders' services based on this usage;
  • for sending invitations to (professional) meetings such as seminars, attending information meetings and workshops organised by Insiders and similar meetings.
  • for what purposes are personal data processed (to end users of your online platform)?
  • for sending messages on your behalf to end users of your website, web application or contact database by using newsletter software provided by Insiders;
  • to display personal profile information regarding interests in topics related to tourist destinations and/or leisure activities or personal profile information legitimately obtained or provided by members of your organisation from a CRM or similar system;
  • For analysing statistical information about online behaviour on websites and web applications, such as the number of pages viewed, the customer journey (click paths), reviews given, likes, favourites, keywords entered in the search functions of the website or application for benchmarking and reporting purposes;
  • for following, unfollowing and sending invitations appropriate to the character of the (social) media platform such as LinkedIn, Instagram, Facebook, Twitter, Whatsapp and similar (social) media platforms, in accordance with the usage guidelines of the platforms in question within the framework of the service agreed with Insiders, for example online activation of a specific target group.
  • for running online campaigns tailored to the personal interests and profiles of end users/consumers, in line with the AVG;
  • to support online dialogue and chat functions that can be linked to your website or web application in accordance with the agreed set-up.

How long is the data stored?

The data are kept as long as strictly necessary to fulfil the agreed service provision as concluded with the processors. After termination of the agreement, all data will be destroyed. As soon as an end user, the client or other entitled party requests deletion of the personal data in the interim, this is done as soon as possible but at the latest within the applicable legal deadlines set according to the AVG.

Security

Insiders uses various security measures to protect the data you provide and the data resulting from our service agreement as an online service provider. There is no transfer of personal data to countries outside the European Union. Insiders does not retain your data for longer than is necessary for the purposes for which it was collected and processed. This is different if we are required by law and regulations to keep your data for longer. When we no longer need your data we will destroy it in a secure manner or keep it anonymised.

E-mail

If you still use Insiders' email services, we hereby inform you that mail handling is performed by Rackspace, a mail hosting and service provider based in the United States. A processing agreement has been entered into with Rackspace in accordance with the applicable guidelines arising from the AVG with regard to our services via third parties. Insiders' mail services have formally expired as of 01-04-2021.

Cookies

Insiders itself does not collect (personal) data by placing cookies on its own website. You are responsible for ensuring an appropriate cookie notification on your website. Insiders provides a sample cookie notice for this purpose and upon approval, Insiders places this cookie notice on your website as an online service provider.

Your rights

At your request, Insiders is happy to provide an overview of the personal data it processes about you. At your request, Insiders will amend or delete this data from its files. If you no longer wish to receive personalised news messages or no longer wish to be kept informed about meetings, new products, etc., you can indicate at any time that you no longer wish to receive such messages, after which their sending will be stopped. The relevant message will state the method by which you can accomplish this. Messages that are necessary for Insiders' services (e.g. a message alerting you to the fact that you need to adjust/change things) cannot logically be stopped.

Changes

If the state of the art or changes in laws and regulations give rise to this, Insiders is entitled to amend this privacy statement. The most recent version of this privacy statement can be consulted on Insiders' website.
